Administration / Scheduler
Job Description
Reports To: Office Manager
Duties Include (but not limited to):
- Excellent telephone manner and customer service skills. A customer focussed attitude that is conducive to delivering optimum customer service.
- Respond to high volume “inbound” sales enquiries
- Converting telephone customer service enquiries with confidence
- A willingness to work in a busy and challenging environment
- Scheduling domestic and commercial jobs for up to 20 Field Technicians
- Prepare customer reports and quotations on a daily basis
- Well developed computer skills, including experience with Microsoft Office applications and mail databases
- Operations experience would be an advantage
- Training: We provide full comprehensive training

Function:
The function of this position is to:
- Represent Pestaway in a professional manner at all times
- Be courteous to all customers at all times
- Be flexible in the way you work.
- Ensure all company policies are upheld, to read, understand and keep up to date with the employers policy and instructions
- To provide a professional and efficient service at all times. Total loyalty to the company will be expected at all times.
- To carry out all tasks associated with the position of Administration Clerk or as may be directed by the Office Manager.
- Work set to Key Performance Indicators as specified.
BUSINESS MANAGEMENT SYSTEMS RESPONSIBILITIES:
Provide a quality and safe environment for yourself and the client in accordance with the company accreditation requirements and systems of work :
AS/NZS ISO9001: 2001 AS/NZS 4801: 2001 ISO 14001: 2004
QUALITY RESPONSIBILITIES:
- Attend courses and seminars as authorised by Managing Director.
- Developing, maintaining and following all company Quality Assurance, Occupational Health & Safety, Environmental policies and objectives
- Bring to the attention of the Office Manager/Managing Director any recommendations to improve or update new systems beneficial to the company.
- Working with all Office Staff members and customers as a committed team member.
O.H.S & ENVIRONMENTAL RESPONSIBILITIES:
- Attend courses and seminars as authorised by Managing Director
- Will observe, implement and fulfil responsibilities identified within the company and relevant Acts and Regulations
- Will be committed to providing a healthy and safe workplace
- Will take appropriate action to advise management to rectify hazards identified
- Will ensure consultation with company representative regarding health, safety and environmental issues
- Will perform work in a manner that is safe and without risks to health, in particular where equipment or work practices are introduced or altered.
Specific Responsibilities:
The specific responsibilities and duties of this position include, but are not limited to all tasks as delegated by the Office Manager:
Telephone Sales: Domestic - Follow office protocol as outlined in the office work manual Commercial – taking all details and making appointments for Managing Director to call, inspect and quote
Assisting in the preparation of Company Profile documents and quotations in an efficient and professional manner.

Technicians: Scheduling contracts on job sheets from the Temisoft scheduling program Scheduling telephone sales on job sheets Confirming all contracts for the scheduled day
Checking all Technicians job sheets as they call into the office, collecting all monies and cheques received, and following up any outstanding scheduling requirements from their day-to-day jobs.
Keeping all Technicians informed of any changes to job sheets daily. Assisting Operations Co-ordinator in attending to all vehicle-servicing bookings for all Technicians.
Occupational Health and Safety Management
- Maintaining records for WorkCover claim as directed by the Office Manager
- Maintaining OH&S documents on flow charts as delegated by the Office Manager
- Working with the Office Manager as the company OH&S representative
- Formatting Risk Assessments and Environmental policies
- Compiling vehicle inspection documents and recording outcomes
